Canva vs Fillable PDF Planner: Which Weekly Format to Buy?

Short answer

Pick a Canva template if you want to change the layout, colours or section labels before you use it. Pick a fillable PDF if you want to open it and start typing straight away without a design account. If you're not sure, buy a bundle with both, so you can customise once in Canva and then fill in the PDF every week.

Planner shops tend to sell the same weekly layout in two forms: an editable Canva template and a fillable PDF. They look alike in the preview pictures, but they work very differently once they're on your device. One is a design file you have to edit before you can use it. The other is a finished document that's ready to fill in. If you pick the wrong one, you can end up spending your Sunday evening moving text boxes around when you meant to plan your week, or with a PDF you can't rename to suit your job. This guide compares the two formats on the things you'll actually notice: how much you can customise, what software and accounts you need, whether it works in GoodNotes or Notability, and how each one prints. By the end you'll know which format suits the way you plan.

What is the difference between a Canva planner and a fillable PDF planner?

A Canva planner is a design file that you edit in Canva's editor. A fillable PDF planner is a finished document with boxes you can type into in a PDF app. Most of the other differences come from this one: what you can change, which software you need, and how long it takes before you can start planning.

With a Canva template, the seller usually sends you a link. Opening it puts a copy of the design in your own Canva account. You can move boxes, change fonts, recolour sections and rename labels. Then you download the finished page as a PDF or image to print or import into another app.

A fillable PDF skips the design step. Adobe explains that interactive forms are often referred to as fillable forms because they come with built-in fields, and that you can recognize interactive forms because they allow you to click directly into text boxes, use drop-down menus and buttons, and quickly tab between fields.

Canva can't create those fields itself. Canva can design a form and edit the visual content of a PDF, but downloading the design does not add native form fields for other people to complete. So if a planner is sold as both Canva-editable and fillable, the seller added the typing fields afterwards in a separate PDF tool. That also means any Canva edits you make won't carry over to the fillable version.

When is a Canva weekly planner template the better buy?

Canva is the better choice when the standard layout doesn't quite suit your week and you want to change it before you use it. It's a design tool, so it's good at changing how a page looks and poor at doing much once the page is finished.

Here are some jobs Canva handles well:

  • Renaming sections, for example changing 'Meals' to 'Client calls' or 'Errands' to 'Revision topics'.
  • Matching your colours, or switching to a high-contrast palette that's easier to read.
  • Swapping in a font you find easier to write with or read at a glance.
  • Deleting a section you never use so the other boxes have more room.
  • Making one custom version, then printing it every week.

What are the limits of Canva for planners?

Canva gets harder to work with the more your planner is meant to do. A competitor's review of Canva planner templates found that digital planner features are limited. And once you try to build something more complex — a full-year dated planner with navigation tabs, for example — Canva starts working against you rather than for you. A single-page undated weekly planner is simple enough that this mostly doesn't matter, but it's worth knowing before you buy a big 'all-in-one' Canva planner.

The export setting also matters if you plan to use your edited file on a tablet. Canva offers 2 PDF export options: PDF Standard and PDF Print. PDF Standard preserves hyperlinks. PDF Print does not. For a printed weekly sheet that's irrelevant. For a planner with tabs that link between pages, it's the most common way the links end up broken.

The cost is your time. Each edit is quick, but getting the layout right can easily take an evening. If you just wanted to plan Monday, that's time you didn't need to spend.

When is a fillable PDF weekly planner the better buy?

A fillable PDF is the better choice when you want to start planning within a minute of downloading and don't care about changing the design. You open it, tap a box, type your priorities and save.

The software is free. Adobe says Adobe Acrobat Reader is free and includes basic tools to view, annotate, fill out forms, and sign documents, and you can also fill out and save PDF forms. The mobile app works the same way: you can simply type text into the fillable fields and e-sign with your finger or stylus.

A fillable PDF suits you if:

  • You plan on a laptop and would rather type than handwrite.
  • You don't want another account, subscription or login.
  • You want a clean, fresh copy each week. Keep the blank file and 'save a copy' every Monday.
  • You'll sometimes print it. A fillable PDF still prints as a normal page.
  • You tend to fiddle with layouts instead of planning, and a fixed design helps you stick to the routine.

Do you need Canva Pro to use a Canva planner template?

Usually not, but check which design elements the template uses. Canva changed how template links work in 2025. Sellers now need a paid plan to create them, but free users can still open and use template links shared by others; they just can't make their own.

The catch is premium elements. If your template includes Pro photos, graphics, or other premium elements, those will appear with watermarks for free users. They can still edit the design, but when they try to download a design, Canva will prompt them to either purchase a license for those Pro elements or upgrade to Canva Pro. You can get around this: they can replace any Pro elements (including images, graphics, and fonts) with free content on Canva or their own uploaded files.

There's also a rule for work accounts. Since June 2025, if you use a free Canva account on the same business email domain as the template's creator, they won't be able to open or use that template link unless they're part of your Canva team or have their own Pro account. This rarely affects people who buy from an independent shop, but it can catch out teams who share templates inside a company.

Before you buy, ask the seller whether the template uses only free fonts and elements. If they won't say, assume you might have to swap some out.

Will a fillable PDF work in GoodNotes or Notability?

Any PDF planner will open in GoodNotes and Notability, and you can handwrite on it or add text with the app's own text tool. Whether you can type into the built-in form fields depends on the app and its version. Note-taking apps are built mainly for handwriting, and form-field support has been a long-standing request from users. On GoodNotes' public feedback forum, one user said that those fill-able pdf fields don't work in GoodNotes! That forum post is user-written and may be out of date, so test the file in your current version.

In practice:

  • If you write with a stylus, the format barely matters. Import the PDF and write on it.
  • If you want to type into the boxes, use a proper PDF app such as Adobe Acrobat Reader or PDF Expert.
  • If you want both, type your fixed items (recurring meetings, top 3 priorities) in Acrobat Reader, then import the saved file into GoodNotes to add handwritten notes.
  • Test the free sample or first page before you commit to a whole-year planner.

Canva or PDF: a 60-second decision checklist

Answer these five questions honestly and count which format gets more of your answers.

Most people who plan one page a week end up in the PDF column most weeks and only need Canva now and then to tweak the design. That's why many buyers go for a bundle with both.

  • Do you want to change the section names or colours? Yes → Canva. No → PDF.
  • Do you want to start today without creating an account? Yes → PDF.
  • Do you usually type rather than handwrite? Yes → fillable PDF in a PDF app.
  • Do you print your weekly sheet? Either works. Canva if you want a custom print, PDF if the standard one is fine.
  • Do you tend to redesign your planner instead of using it? Yes → PDF. A fixed layout removes that temptation.

Why a bundle with both formats is often the practical answer

If you're torn, buy a bundle that includes the Canva file and the fillable PDF. You get to customise once and then fill in the same layout quickly every week. The usual routine is to adjust the colours and labels in Canva, export or print your version, and fill in the standard PDF on weeks when you don't need anything changed.

This is the approach we took with The Weekly Reset printable weekly planner template. It includes an undated printable PDF in A4, US Letter and A5 half-page sizes, with Monday-start and Sunday-start versions. There's also a fillable/typeable PDF and an editable Canva link for changing colours, fonts and section labels. The layout is deliberately small: a top-3-priorities box, a brain-dump notes area and a 5-box priority tracker, so filling it in takes minutes rather than an hour. It's £12 as an instant download, and you can see what's included on the buy section.

Whatever you buy, check three things on the listing: whether the Canva template uses only free elements, whether the PDF has real form fields or is just a flat page, and which paper sizes are included.

Key takeaways

  • Canva templates are for customising the design; fillable PDFs are for filling in quickly.
  • Canva can't create fillable fields itself, so fillable planners have their fields added in a separate PDF tool.
  • Free Canva users can open template links, but Pro elements will be watermarked when downloaded.
  • Any PDF opens in GoodNotes and Notability, but typing into form fields works most reliably in a PDF app like Acrobat Reader.
  • If you're unsure, buy a bundle: customise once in Canva, then use the PDF every week.

Frequently asked questions

Is a Canva planner or a PDF planner better for beginners?

For most beginners, a fillable PDF is easier because there's nothing to design. You open it and start planning. Canva is beginner-friendly too, but editing a layout is an extra step. Start with the PDF and move to Canva only if the layout doesn't suit you.

Can Canva make a fillable PDF planner?

Not by itself. Canva exports PDFs without form fields you can type into, so sellers add the fields afterwards in a PDF form tool. If you edit a Canva template, your exported file will be a flat PDF unless you add fields yourself.

Do I need Canva Pro to edit a planner template I bought?

Usually not. Free Canva users can open template links that others share with them. If the template uses Pro elements, you'll see watermarks and be asked to pay when you download, unless you swap those elements for free ones. Ask the seller whether the template uses only free elements before you buy.

Can I print a fillable PDF planner?

Yes. A fillable PDF prints like any other PDF, either blank or with the text you've typed. Check that the file comes in your paper size, such as A4 or US Letter, so it doesn't get scaled or cropped.

Which format is better for an iPad?

If you handwrite with an Apple Pencil, either format works. Export the Canva version to PDF or use the fillable PDF, then import it into GoodNotes or Notability. If you want to type into the boxes, a fillable PDF in Adobe Acrobat Reader is more reliable, because note-taking apps don't always support form fields.
